EXAMPLE · TREE CARE OPERATIONS

Tree CareFleet and Crew Safety

We're building an operations app for a tree care company's crews and managers. Crews check equipment and review job hazards, mechanics record repairs, and managers review completed work before returning held equipment to service. The app brings those records together by location, crew, and job.

Client build in progress. The workspace uses sample records; comparisons show the process design, not measured client results.

BEFORE THE BUILD

The equipment checkis only the first step.

A failed check needs a repair owner, a record of the work, and a decision about when equipment can return to service. The build keeps those steps together while crews prepare for each job.

CREW TO MECHANIC

A defect needs a repair owner

The failed item, photo, and equipment record need to reach the person who will assess and repair it.

REPAIR TO RELEASE

Completed work still needs review

Finishing a repair and approving equipment for use are separate decisions. Management needs the repair record before releasing a hold.

EQUIPMENT TO JOB

A daily check does not clear every job

Road checks, equipment checks, and site hazards each need their own record. A job also needs its assigned equipment checks and crew briefing.

ILLUSTRATIVE BEFORE AND AFTER

What changes fromcheck to return to service.

Illustrative process comparison. No time savings or safety outcomes have been measured.

Source
Based on a Calyer tree care operations app build.
Scope
Crew checks, equipment defects, repairs, management release, and job readiness.
Comparison
A separate-record process compared with the connected process in the build. This is not a measured account of the client's prior operations.
Limits
The build is in progress. Workspace counts are sample records. The comparison does not measure downtime, repair speed, incident rates, or regulatory compliance.
Review date
Reviewed October 2026.

Defect follow-up

BEFORECheck and repair tracked apart
AFTERDefect linked to a repair task
A failed item creates a defect, opens repair work, and holds the equipment.

Return to service

BEFORESeparate release confirmation
AFTERManagement approval on the asset
Recording a completed repair keeps the hold in place until management reviews and releases it.

Job readiness

BEFOREChecks gathered from separate records
AFTERRequired checks on the job
Job start depends on assigned equipment checks, the site hazard review, evidence, and crew briefing.

Equipment history

BEFORECheck, repair, and service records apart
AFTEROne asset history
Managers and mechanics can review readings, defects, repairs, and service on the same equipment record.

HOW THE TEAM USES IT

One workspace for the team.

01

Crew day

Assigned jobs and equipment, QR scanning, road and equipment checks, and job hazard reviews. Crew forms support English and Spanish.

02

Service and repairs

Open defects, repair decisions, completed work, and service history on each asset.

03

Management overview

Equipment holds, missing checks, repair reviews, and reports scoped to the manager's locations.

INSIDE THE BUILD

What the tree caresystem covers

The build connects crew work, fleet maintenance, and management review while keeping each location's access and approvals clear.

01

Bring in assigned jobs

Read scheduled jobs and assignments from Housecall Pro. Keep scheduling, pricing, and customer communication there.

02

Check equipment

Scan QR labels and record road or equipment checks with failed items and photos.

03

Review job hazards

Record site hazards, required evidence, headcount, and crew briefing before job start.

04

Track repairs

Keep repair decisions, completed work, meter readings, and service history with the equipment.

05

Review and release

Give management the completed repair record to review before releasing held equipment. Export checks and repair records for reporting.
